GameYears

Privacy Policy

Effective August 28, 2026

Who we are

GameYears™ is a service operated by QForma LLC, a Missouri limited liability company. This Privacy Policy explains what information GameYears handles, how it is used, and the choices you have.

Accounts, parents and guardians

GameYears accounts are intended to be created and managed by adults, including parents and legal guardians. GameYears does not knowingly permit a child under 13 to establish an account.

Adult account holders may add information and content concerning an athlete, including a minor. That content may include the athlete's name, birth date, grade, hometown, photographs, video, voice, sports history, statistics, memories and other information the adult chooses to include.

If you believe a child under 13 has established or is independently using an account without appropriate parental involvement, please email us at support@gameyears.com.

Information you give us

Account and family information: the account holder's name and email address, family membership and roles, and the family members you invite. Authentication credentials are handled by our authentication provider.

Athlete and record information: athlete profiles and sports records — seasons, teams, schedules, events, venues, tournaments, results, statistics, awards, coaches, teammates and other related people.

Content you upload: photos, videos, audio recordings, voice transcripts, documents, notes and private notes, pasted text, imported schedules and source URLs, together with file information such as filename, size, dimensions, duration and capture date.

Billing records: GameYears keeps a payment-processor customer reference, your plan, its status and renewal information. Full payment-card information is processed by Stripe and is not stored by GameYears.

Technical information

GameYears does not use advertising pixels, advertising networks or product-analytics scripts.

Operating any online service still involves ordinary technical information. Our hosting, authentication, database and storage providers may process information such as IP addresses, browser and device details, request dates and times, requested pages, error logs, and security and authentication events as part of delivering and securing their services.

How we use information

We use the information described in this policy to operate and organize your family's GameYears record; to authenticate users and apply family roles; to display athlete, season, game, moment and related experiences; to store and deliver uploaded content; to process subscriptions; to provide support; to protect the service; to process the AI-assisted features you ask for; and to prepare the layouts and experiences you request.

Service providers

We use the following providers, each of which receives only the information needed to perform its service:

Supabase — authentication, database and private file storage. Lovable — application hosting and delivery. Stripe — hosted payment processing and subscription billing. Lovable AI Gateway — routing supported AI requests. Google — processing supported extraction and organization requests through the configured Gemini model. OpenAI — transcribing voice memories through the configured transcription model.

Ask GameYears

Ask GameYears is an AI assistant that answers questions about how GameYears works. It answers only from our published Help topics. It cannot see your record, your photos, your athletes or your billing, and it cannot make any change to your account.

When you ask a question, your question, the screen you are on and a small amount of non-identifying context — whether you are signed in, your role, and your plan name — are sent to our AI provider to produce the answer. We do not store your questions or the answers, and we do not use them to train any model. Please don't type passwords, card numbers or other secrets into it; if you do, we ask you to change them.

When the assistant isn't confident, or when something needs a person, it will point you to support@gameyears.com.

What we do not do

We do not sell personal information. We do not share personal information for targeted advertising, and we do not use advertising networks or behavioral-advertising trackers.

Private sharing

Your family's record is private by default. Only authorized adult family managers may create and manage share links. A share link displays the specific page or material approved for that link.

Anyone who possesses a valid share link may view its approved contents until the link expires or is revoked, so please share links only with intended recipients. Parents and guardians may revoke a link at any time or allow it to expire.

Shared pages carry search-engine no-index instructions; those reduce accidental indexing but are not a security or access-control mechanism. The photograph derivatives used in shared pages have supported embedded metadata removed.

Content concerning other people

Your uploads may include teammates, coaches, relatives or other people. As the account holder, you are responsible for having the authority or permission needed to upload and share that content.

Retention and deletion

We keep information for as long as it is needed to operate and maintain your family's record and provide the service. Ending a paid membership does not itself delete the account or the family record.

The account owner can delete the account at any time from Membership, or at gameyears.com/delete-account. Deleting is permanent: it cancels any paid membership, removes the family's record and the photos, videos and notes stored with it, stops every share link and contribution link created from it, and removes the owner's sign-in.

When you delete an item inside the product, it may first disappear from normal views without every underlying copy being purged immediately. Some information may be retained where reasonably necessary for security, fraud prevention, legal compliance, dispute resolution, backup integrity or other legitimate operational purposes, and we cannot promise immediate removal from every backup. Limited billing records are kept without your family's content.

Account holders may request access to, correction of, or a copy or deletion of information by emailing support@gameyears.com. We may need to verify your identity, account ownership and authority over the family record before fulfilling a request.

Security

GameYears uses private file storage, access rules that scope data to your family, short-lived signed links for files, encryption in transit, restricted server-side billing records, and revocable, expiring share links. No online service can guarantee absolute security, so please keep your own copies of anything irreplaceable.

Your rights

Depending on where you live, you may have additional rights concerning your personal information. You may contact us to make a request. We may need to verify your identity, account ownership, and authority over the family record before fulfilling it. Some requests may be subject to exceptions where the law permits or requires us to retain information.

Changes to this policy

We may update this Privacy Policy as GameYears changes. We will post the updated policy with a revised effective date. When a change is material, we may also provide notice through the service or by another reasonable method.
